Correct export documentation keeps a shipment moving through customs and into the buyer's hands without delay. This guide explains the core documents and terms for hydraulic component exports from China.

Key Incoterms for hydraulic exports
- FOB (Free On Board) — seller delivers goods on board the vessel at the named port. Buyer arranges and pays for ocean freight and insurance. Common for full-container hydraulic shipments.
- CIF (Cost, Insurance, Freight) — seller arranges and pays for freight and insurance to the named destination port. Buyer handles import clearance. Gives the buyer a delivered cost to the port.
- EXW (Ex Works) — buyer collects from the seller's premises and handles all transport, export and import formalities. Risk transfers at pickup. Only suitable when the buyer has a China-based logistics partner.
- DAP (Delivered at Place) — seller delivers to the named destination, ready for unloading. Buyer handles import clearance. Useful when the buyer wants a delivered price to their door or warehouse.
- FCA (Free Carrier) — seller delivers to the buyer's nominated carrier at a named place. More flexible than FOB for air freight or consolidated shipments.
The Incoterm determines when risk transfers from seller to buyer, who pays for transport and who handles customs formalities. It must be stated in the quotation — a price without an Incoterm is incomplete.
Shipping practicalities for hydraulic components
- Heavy items (pumps, motors, large cylinders) usually ship by sea freight in crates or on pallets. Air freight is economical only for small valves, seal kits or urgent replacements.
- Protect machined surfaces: shaft ends, port threads and mounting faces need caps, plugs or protective covers. Rust-preventive treatment should be specified for sea freight.
- Flexible hoses, seals and elastomeric parts should be protected from heat, direct sunlight and ozone during transit and storage.
- Neutral packing (no supplier branding on outer cartons) is commonly requested by distributors. Confirm availability before ordering.
- Wood packaging (crates, pallets) must comply with ISPM 15 for international shipments — heat treatment or fumigation with the IPPC mark.
- Express courier (DHL, FedEx, UPS) is practical for samples, small seal kits, or single small valves. Faster but more expensive per kg than air freight for larger shipments.
