A catalogue page, a quick reply and a low price do not by themselves establish a reliable hydraulic component supplier. This guide separates the questions that reveal capability from the claims that reveal nothing.

Send the original reference: Include the complete model code, quantity, destination and available photos or drawings.

1. Legal identity — start with who the business actually is

  • Request the supplier's registered legal name and business registration number
  • Confirm the business scope includes the product family you are ordering
  • Verify the physical operating address — a virtual office or residential address alone is not disqualifying, but it should be known
  • Ask who will appear as the exporter/shipper on documents and whether they are the same legal entity as the manufacturer

A supplier that refuses to share its legal identity before an order is a red flag. A supplier that provides an identity but cannot link it to the product being offered is a lead, not an approved source.

2. Product capability — not 'everything', but 'this exact model'

  • Ask which product families the supplier produces or trades regularly — a focused list is more credible than 'all hydraulic parts'
  • Request a model-code interpretation for your exact reference — can the supplier decode the function, control, interface and options?
  • Ask which operations are performed in-house and which are subcontracted
  • Request a dimensional comparison or drawing for the proposed item — not only a datasheet for the series
  • Ask about available test equipment and whether test records are order-linked

A supplier that cannot interpret the complete model code is sourcing from a catalogue, not from product knowledge. Price may be the only differentiator.

3. Evidence depth — separate what exists from what is claimed

Evidence levelWhat it can confirmWhat it cannot confirm
Product photoVisible condition, markings, packaging appearanceInternal configuration, material, performance or conformity to order
Company registrationLegal identity, business scope, registration dateCapability, quality, delivery reliability or product-specific competence
ISO / quality certificateThat a certification body assessed the management system at a point in timeThat the certificate covers your product family, location or current capability
Sample unitPhysical product quality for that one unitBatch consistency, future delivery conformity or dimensional accuracy without measurement
Order-linked test recordThat the identified unit was tested under stated conditions and met stated criteriaPerformance outside the tested conditions or future batch behaviour

4. Corrective action — what happens when something goes wrong

  • Ask how a nonconforming unit is reported, investigated and corrected
  • Request the warranty duration, scope, claim evidence requirements and exclusions in writing
  • Ask whether the supplier has a documented corrective-action process for quality issues
  • Confirm who pays for return shipping, inspection and replacement in a warranty claim
  • Ask how repeat-order consistency is maintained when the revision, material or sub-supplier changes

'We will replace it' without a defined process, responsible party, timeline or shipping arrangement is not a warranty — it is a hope.

5. Communication as a qualification signal

  • Does the supplier ask clarifying questions about the model code, application and required evidence — or only about quantity and price?
  • Does the supplier state when a parameter cannot be confirmed — or does everything sound 'no problem'?
  • Does the supplier provide written technical data — or only voice messages and promises?
  • Does the supplier respect an evidence boundary — or promise documents they cannot produce?

A supplier that never says 'I need to check that' is probably not checking anything.
